Make a Request

Please follow the steps below to make a Facility Use Request.

  1. Make an Account (username and password) at https://doverny.myrec.com/info/default.aspx
  2. Once your account is created navigate to "Programs" on the Dover Recreation Website.
  3. Facilities Request form – download and complete the form and email to recreation@doverny.us.
  4. The Recreation Department will call you once the request is received.
  5. Rental Agreement, liability Insurance required, payment for rental, and make sure the date is available.

Rules

  • Organizations wishing to use municipal facilities shall first meet with the Recreation Commission on the first Monday of every month located at the Thomas J. Boyce Park Recreation Offices. The meeting begins promptly at 6:30 PM.
  • In the event of inclement weather, the Recreation commission or his designee has the final authority of whether facilities are useable.
  • Intoxicants/ Alcohol/ Firearms and ammunition shall not be brought onto municipal facilities at any time.
  • All posted rules and regulations must be adhered to. (Please see posted rules and regulations)
  • Profanity, objectionable language, disorderly acts of conduct or illegal activities of any kind are absolutely prohibited, and those violating this prohibition will be ejected from the premises.
  • Any damage to municipal facilities shall be promptly repaired at the user's expense. A refundable deposit in the amount of $100.00 must be on file at the Recreation Office in case of any damage that may occur while using the Park facilities. At that time of damage the $100.00 deposit will not be refundable to the user until the damage has been take care of. (Monetary Value) No exceptions.
  • If maintenance personnel are not available, make sure all doors are locked and lights are turned out when leaving.
  • Organizations using the facilities must clean-up afterwards.
  • Permits may be revoked at any time.
  • Any organization with youths under 21 years old requires the presence of adequate adult supervision at all times.
  • A $100.00 refundable deposit is mandatory to be payable to the Town of Dover Recreation Dept.
  • The emergency telephone number for police is 911. If an emergency occurs you must contact the Recreation Director immediately, at 845-656-1684.

Commercial Users: 

  1. The user hereby agrees to effectuate the naming of the municipality as an unrestricted additional insured on the user's policy.
  2. The policy naming the municipality as an additional insured shall
    • Be an insurance policy from an A.M. Best rated "secured" New York State licensed insurer.
    • Contain a 30 day notice of cancelation
    • State that the organization coverage shall be primary coverage for the Municipality, its Board, employees and volunteers
    • Additional insured status shall be provided with ISO 2026 or its equivalent.
  3. The user agrees to indemnify the municipality for any applicable deductibles.
  4. Enclose a copy of the endorsement providing additional insured status.
  5. Required Insurance:
    • Commercial General Liability Insurance - $1,000,000 per occurrence / $2,000,000 aggregate.
  6. User acknowledges that failure to obtain such insurance on behalf of the municipality constitutes a material breach of contract and subject it to liability for damages, indemnification and all other legal remedies available to the municipality. The user is to provide the municipality with a certificate of insurance, evidencing the above requirement have been met. The failure of the municipality to object to the contents of the certificate or the absence of it shall not be deemed a waiver of any and all rights held by the municipality.

Individuals:

Required Insurance:

  • Homeowners Insurance: Section Two - Liability: $300,000 limit on liability.
  • Policy shall not exclude the off-premises activities of the insured.
